Host the 2024 Inclusion, Diversity, Equity, and Accessibility in Libraries & Archives (IDEAL) Conference—Deadline March 1, 2023

IDEAL: Inclusion, Diversity, Equity, and Accessibility in Libraries & ArchivesAssociation of Research Libraries (ARL) members are invited to submit expressions of interest to host the 2024 IDEAL Conference. Formerly the National Diversity in Libraries Conference (NDLC), the conference provides participants with an opportunity to engage in discussions and present research on the topics of inclusion, diversity, equity, and accessibility in libraries and archives.

The target date of the 2024 IDEAL Conference is summer. We are looking for a host site in one of the following Canadian provinces: Alberta, British Columbia, Manitoba, Ontario, Saskatchewan, or Quebec, or in one of the following US states: California, Colorado, Connecticut, Delaware, Hawaii, Illinois, Maryland, Massachusetts, Michigan, Minnesota, Missouri, Nebraska, Nevada, New Hampshire, New Jersey, New Mexico, New York, Oregon, Pennsylvania, Rhode Island, Virginia, Washington, or Wisconsin.

Co-hosting expressions of interest are welcome. ARL will coordinate the program planning and conference logistics, and be fiscally responsible for the event. Host sites will be expected to provide staff to serve on the IDEAL Conference planning committee as well as offer location-specific support, absorb indirect costs associated with hosting a conference, and host a conference reception. Host site expressions of interest will be evaluated based on the ability to support these needs, in addition to the venue space, food and beverage options, and local lodging and transportation options.

Venue Specifications

Meeting Space

  • General Session: Accommodates a minimum of 750 people (rounds of 8), including a stage and AV equipment
  • Breakout Sessions: At least 6 different rooms that can accommodate 700 people across the spaces (rounds or theater), including basic AV
  • Meal Room: Accommodates a minimum of 700 people (rounds of 10) and is separate from the General Session space
  • Poster Session: Accommodates up to fifteen (15) 8’ x 4’ poster boards around the perimeter in the meal room, foyer/flexible space, or a separate room
  • Reception: Outdoor or other standing reception space for up to 700 people

Lodging

  • Venue has onsite lodging or a variety of hotels within 2 miles.

Food & Beverage

  • Venue has onsite catering.

Transportation

  • Venue is in close/reasonable proximity to a major airport.
  • Public transportation options are available from the airport.
